Wickham Market Medical Centre – Care Navigator/Medical Receptionist

The Practice is comprised of two busy surgeries in East Suffolk – Wickham Market Medical Centre and Rendlesham Branch Surgery, both providing a full range of NHS services to almost 10,000 patients. Wickham Market is a purpose-built surgery with a pay & display public car park and Rendlesham is sited next to a free public car park.

We are currently in search of a person who is experienced in delivering excellent customer service, maintaining professionalism and discretion at all times and able to work both independently and as part of our dedicated team. Applicants are expected to be flexible in providing holiday and sickness cover for other reception staff in addition to their own working rota.

Reception experience is essential and knowledge of primary care and the clinical system ‘SystmOne’ would be an advantage. Pay will be dependent on experience. NHS Pension Scheme available.

Hours - 31.5 per week

Monday 12.45pm to 6.15pm

Wednesday 7.45am to 6.15pm with 3/4 hour break

Thursday 7.45am to 6.45pm with 3/4 hour break

Friday 7.45am to 1.45pm

Duties & Responsibilities

The duties and responsibilities to be undertaken by members of the practice reception/administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Business Manager, dependent on current and evolving Practice workload and staffing levels:

Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols

Maintaining and monitoring the Practice appointments system

Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional

Processing and distributing incoming (and outgoing) mail

Taking messages and passing on information

Filing and retrieving paperwork

Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice

Ensure that adequate holiday and sickness cover is provided for other reception staff team members

Deal with all general enquiries, explain procedures and make new and follow-up appointments.

Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.

Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning

Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
