JOB SUMMARY - 21 HOURS PER WEEK

Kingsnorth Medical Practice is looking for a friendly, motivated, responsible, conscientious and reliable person to join the reception team.

The hours will be Tuesday 2 pm - 8 pm, Wednesday 2 pm - 7 pm, Thursday 2 pm - 7 pm and Friday 2 pm - 7 pm. There will be opportunity for overtime.

MAIN DUTIES OF THE JOB

  • Answering incoming phone calls
  • Care Navigation
  • Dealing with patients at the reception desk
  • Responding to requests from patients, the team and outside agencies.
  • Registration of new patients
  • Completion of opening and closing procedures for the Practice.
  • Kingsnorth Medical Practice is located in a semi-rural location. We are a close-knit sociable team with 4 Partners, 7 Salaried GPs, 4 nurses and 3 HCAs, social prescriber, reception team and an administration team.

  • Responsible for carrying out a wide range of duties.
  • Be a front-line advocate for the Kingsnorth Medical Practice.
  • Assist patients to make the best use of the services provided within the Practice.
  • Work in partnership with the whole Primary Health Care Team (PHCT) ensuring excellent communication.

RESPONSIBILITIES

At the start of the day entering the building and disabling the burglar alarm. Receptionists should exercise caution when opening up and if there are any signs of a break-in remain outside until other members of staff arrive. On entering the building ensuring that the telephones have been switched to day-service and that all equipment is operational and the main computer terminals have been switched on.

Make appointments and assist patients with their enquiries or queries. Maintenance of the surgery list, clinic books and computerised appointment systems. Receiving patients in the reception and checking their names off surgery lists.

Registering new patients, ensuring all paperwork is duly completed and passed onto the Registration Co-ordinator. All new patients must be offered an appointment for a registration check with a member of the Primary Healthcare Team.

Answering the telephone and dealing with patient enquiries as referred to above. The taking and passing of messages, ensuring that all messages are passed to the most appropriate person.

Receiving requests and organising home visits.

Open and process incoming mail according to practice procedure in line with Docman 10.

Pulling and checking of notes for surgeries and clinics if required. Re-filing notes at the end of every session when required.

Ensure patients are informed about fees etc. and that all appropriate fees have been collected before patients are seen by Doctor or Practice Nurse.

Sort prescriptions, after signature by the doctor, for patients or their authorised representative to collect. Ensure that prescriptions collected by designated representatives are recorded and signed for in the appropriate record book.

Ensure stocks of forms and stationery are maintained in Reception and that the Reception Manager or appropriate person is informed of any stock deficiencies.

At the end of the day ensuring that all computers are logged out and that all electrical equipment has been switched off where appropriate. Ensure that all doors and windows have been secured and fire doors closed. Ensure that the identified boxes and cupboards have been locked and keys secured in key safe. Switching the telephone to the on-call service. Setting burglar alarms and ensuring the security of the building.

Arrange special and private appointments as directed.

Checking and dealing with correspondence as directed, ensuring that the paperwork and task are processed promptly on a daily basis.

At the end of every session, where appropriate, ensure that all outstanding issues are handed over to the incoming receptionist.

Make sure that all post is despatched at the end of the day.

All staff members are responsible for co-operating with the development and implementation of KMP policies and guidance as part of their duties and responsibilities. New documents will be disseminated electronically by the Practice Manager or her deputy to ensure all clinical and administrative personnel are aware of and understand the implication of any document.

All staff members are expected to work in accordance with the NHS Code of Confidentiality

QUALIFICATIONS

Essential:

  • Good standard of literacy and numeracy
  • Customer Service Experience
  • Good computer skills

Desirable:

  • Knowledge of EMIS Web Clinical Software
  • Knowledge of Docman Document Management System
  • Previous experience working in a medical practice
